Economic Development Team Coordination Officer

The Economic Development and Programmes Unit (EDPU) is responsible for delivering the Mayor's commitment to create new jobs, support businesses and grow London's economy in a fair, inclusive and sustainable way. The team's work is critical to help London's businesses - from fin tech to tourism, from high streets to industrial areas - to innovate and realise their full potential; promoting good jobs and inclusive growth across the capital, so that all Londoners can contribute to and benefit from the economy.

We are looking for a Team Coordinator to provide administrative and project support to the team. The successful candidate will work across all teams in the unit, engage with senior staff at both the officer and the political level, and get involved in a number of exciting projects and programmes aimed to help London's economy thrive.

You will act as a central coordinator for the team. You will coordinate contributions to a number of Mayoral reports, meetings and correspondence. You will provide administrative support GLA senior officer boards, including arranging meetings, preparing papers, taking minutes, tracking the status of actions, and taking proactive steps for the benefit of the group. You will also take a leading role in organising team meetings and events and in maintaining key lines of communication and working relationships with staff across the organisation.

The role is based within the Good Growth Directorate

Good Growth is responsible for delivering and implementing the Mayor's environment, transport and economic strategies and for the effective implementation of the London Plan. The Directorate is also responsible for regeneration (where the programme is not housing led), enterprise, growth, capital projects and design work.

Principal accountabilities
1. Act as a central coordinator for the team, including:
• Coordinating team responses to monthly Mayor's Questions and Mayor's Report, performance dashboards, People's Question Time briefings, and a number of other Mayoral and corporate reports.
• Coordinating responses to the Mayor's correspondence that is allocated to the unit.
• Coordinating one of the GLA senior officer boards, the Jobs and Skills Implementation Group, including arranging meetings, preparing papers, taking minutes, tracking the status of actions, and taking proactive steps for the benefit of the group.
• Raising purchase orders and completing goods received notices via the finance database to ensure the timely confirmation and delivery of required goods and services and payment for those goods and services.
• Taking a leading role in organising team events.
• Providing administrative support to team meetings.
• Maintaining trackers and rotas for team-wide activities as required.
• Updating the team's induction document as required.
2. Provide high level support to the Assistant Director, including diary management, arranging meetings, collating agendas, distributing papers and taking minutes.
3. Maintain key lines of communication and working relationships with staff across the organisation to support the Economic Development and Programmes Team.
4. Keep abreast of planned meetings and key developments relevant to the Unit to support team members in their roles.
5. Contribute to the development of effective communication and information systems to support the unit's work.
6. Undertake other responsibilities as may be required on a flexible basis.

Technical requirements/experience/qualifications
Experience of using IT systems including MS Outlook, word-processing, spreadsheets, and databases.

This role is based at London Fire Brigade's Head Office (Union Street SE1 0LL)

GLA staff are hybrid working up to 3 days a week in our offices and remotely depending on their role. As part of this, you will need to split your time between home working and coming into the office.
